1. Information we collect
We collect information you provide directly to us, such as your email address when you create an account or join the waitlist. We also collect information about how you use the service, including the content you upload to train your chatbots.
2. How we use your information
We use the information we collect to provide, maintain, and improve AnswerClerk, to send you transactional emails (such as account verification and password reset), and to respond to your support requests. We do not sell your personal information to third parties.
3. Data storage and security
Your data is stored on AWS infrastructure in the US East region. Uploaded documents and chatbot configurations are encrypted at rest. We take reasonable precautions to protect your information, but no system is completely secure.
4. Data retention
We retain your account data for the life of your account. Your chatbots, uploaded documents, conversation transcripts, and related configuration are kept for as long as your account remains active so the service works as expected. We do not impose a fixed expiry on active-account data. When you close your account, we delete this data as described in “Your rights” below.
5. Third-party services
AnswerClerk uses third-party AI providers (such as OpenAI and Anthropic) to generate chatbot responses. Queries sent through your chatbot may be processed by these providers in accordance with their own privacy policies. We recommend reviewing their policies if your use case involves sensitive data.
6. Cookies
We use local storage (not browser cookies) to maintain your login session. We do not use third-party tracking cookies or advertising pixels on our platform.
7. Your rights
You may request deletion of your account and associated data at any time from your account settings. Deletion permanently removes your chatbots, uploaded documents, conversation transcripts, and the search-index vectors derived from your content, and cancels any active paid subscription. We retain the billing customer record only where required for tax and accounting obligations; it holds no chatbot content.
You may also download a copy of your account data — including your profile, teams, chatbots, sources, and conversation transcripts — as a JSON file from your account settings, in support of your right to access and data portability.

8. Changes to this policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes by email. Continued use of the service after changes constitutes acceptance of the updated policy.
